Refund & Cancellation Policy

At Tatva Bodh Expeditions, we understand that travel plans may change. Our refund and cancellation policy is designed to be transparent and fair to both our guests and our company.

1. Booking Confirmation

  • A booking is confirmed only after receiving 60% of the total cost.

Payment Conditions

  • 60% advance payment is required to confirm the booking.
  • The remaining 40% of the total amount must be transferred to our account at least 48 hours prior to arrival in Nepal. Alternatively, guests may choose to settle the remaining balance in cash upon arrival in Kathmandu before the commencement of any services or programs.
  • For bookings made within 10 days of travel, full payment is required at the time of confirmation.

2. Cancellation by the Client

More than 30 days before arrival

  • 100% of the booking amount will be refunded after deducting:
    • Non-refundable hotel charges
    • Flight or transport cancellation charges
    • Permit fees
    • Bank and payment processing fees

15 to 30 days before arrival

  • 75% of the booking amount will be refunded.

7 to 14 days before arrival

  • 25% of the booking amount will be refunded.

Less than 7 days before arrival

  • No refund.

No-Show

  • No refund will be provided if the guest fails to arrive or use the booked services.

Early Departure or Unused Services

  • No refund will be provided for unused hotel nights, meals, sightseeing, transfers, or any other services not utilized.

3. Non-Refundable Costs

The following costs are non-refundable once booked or issued:

  • Flight tickets (domestic or international)
  • Permit fees
  • Hotel bookings with non-refundable terms
  • Special event or peak season bookings
  • Bank transfer fees and payment gateway charges

4. Additional Refund Terms

  • Any bank charges, payment gateway fees, QR payment processing fees, currency conversion charges, or intermediary transaction costs incurred during the refund process will be deducted from the refundable amount. These charges are the responsibility of the client.
  • For payments made through our QR code, approved refunds may take approximately 30 to 45 days to be credited to the original account, depending on the payment provider and banking system.

5. Cancellation by Tatva Bodh Expeditions

If we must cancel a trip due to unforeseen circumstances, including natural disasters, political unrest, or operational reasons:

  • Guests will receive a full refund of the amount paid to us for services not rendered;
or
  • Guests may choose to reschedule their trip for a future date.
Tatva Bodh Expeditions is not responsible for additional expenses such as flights, insurance, or personal arrangements.

6. Force Majeure

No refunds will be guaranteed for disruptions caused by events beyond our control, including:

  • Weather conditions
  • Flight cancellations
  • Road closures
  • Government restrictions
  • Natural disasters
  • Pandemics
  • Political disturbances
In such cases, we will make every reasonable effort to reschedule or adjust the itinerary.

7. Refund Processing

Approved refunds will be processed within 7 to 14 business days after confirmation. However, the time required for the refunded amount to be reflected in the client’s account may vary depending on banking systems and payment providers. In the case of payments made via QR code, the crediting process may take approximately 30 to 45 days, depending on the respective financial institution and intermediary processing timelines.

8. Amendments to Bookings

Changes to confirmed bookings are subject to availability and may incur additional charges.

9. Acceptance of Policy

By confirming a booking with Tatva Bodh Expeditions, the client acknowledges and agrees to this Refund & Cancellation Policy.

10. Important Notes

  • If you wish to modify your travel dates, itinerary, hotel category, or any other requirements, we will be pleased to provide you with a revised quotation.
  • Quoted rates are subject to change if the originally confirmed hotels or service providers are not available and alternative accommodation or services need to be arranged at the time of booking.
  • This quotation does not guarantee availability. No rooms, flights, or services are being held unless specifically stated in writing.
  • All bookings are subject to confirmation at the time of payment.

11. Hotel Check-In and Check-Out

  • Standard hotel check-in time is 2:00 PM.
  • Standard hotel check-out time is 12:00 PM.
  • Early check-in and late check-out are subject to availability and shall incur additional charges.
